【For Almuni】Issuing the Official Certificate

Issuing Certificate

As for the Type of Certificate and Application fee, Please refer to the link below. 
As a rule, certificates are issued under the name registered while you were enrolled in Soka University.

How to apply

There are three ways of the application procedure. 

(1) Using Online Application System

All procedures can be completed online. 

<Change in the Express Mail Rates>
The express mail rates of Japan Post will be changed from October 1 (Fri), 2021.
According to this change, the express mail rates for the online payment will be changed from the following date.

Thursday, September 30, 2021 
*The detailed time is to be determined. 

Notes;
  • In addition to the certificate issuance fee and postage (including express delivery fee), you will be required to pay the prescribed system usage fee.
  • A credit card (VISA, Master Card) in the name of the applicant (or his/her relatives) must be used.
  • It is necessary to upload the photo/image data (*1) that can identify the applicant via the Internet.
  • Certificate issuance fee, postage (including express delivery fee), and system usage fee will not be refunded for any reason once the payment procedure has been completed. If you have any questions, please be sure to consult the Graduate School Office in advance.

* 1: Either copy of the following documents must be submitted.
・Driver’s license (issued by Japan)
・Health insurance card
・Passport
・Basic Resident Register card

*Please note that "My Number Card" cannot be accepted.
*If you cannot prepare the above-mentioned documents, please consult with the Graduate School Office in advance.

(2) Applying at the Reception (Each Graduate School Office)

In case the Alumni will visit the Graduate School office directly and apply for the application, please follow the instruction below.

①Submit a copy of personal Identification
Either copy of the following documents must be submitted.
・Driver’s license (issued by Japan)
・Health insurance card
・Passport

*Please note that "My Number Card" cannot be accepted.
*If you cannot prepare the above-mentioned documents, please consult with the Graduate School Office in advance.

②Make payments of the application fees as Cash
*You can purchase a certificate stamp with the vending machine (Papyrus Mate) located in the Global Square 1st floor.

(3)Application via Postal Mail

Required Documents;
1.  Certificate Application Form
2.  A copy of personal Identification
3.  The designated amount of postal money order (Application fee)
4.  A return-mail envelope
Step 1. Download the Latest Application Form and fill them out
Please make sure to print it out and submit it by filling out the required information. 
Notes;
1) Student Name (The name used when you were enrolled is used when issuing certificates.)
2) Date of birth
3) Student ID Number (Required only for current students)
4) Year of Graduate (Required only for alumni)
5) Current Address
6) Phone number or email address(daytime available contact information)
7) mailing address (in case of different from current address)
8) Please state the following items: Type of certificate, number of copies, Japanese or English, and if the certificates need to be sealed.
9) Purpose of use
Step 2. Prepare a copy of personal Identification
Either copy of the following documents must be submitted.
・Driver’s license (issued by Japan)
・Health insurance card
・Passport
・Basic Resident Register card

*Please note that "My Number Card" cannot be accepted.
*If you cannot prepare the above-mentioned documents, please consult with the Graduate School Office in advance.
Step 3. Make payments of the application fees
Please make payments of the certificate issuing fee by postal money order.
You can purchase the same amount of the postal money order (Yubin-teigaku-kogawase) as the total fee of the issuing fee at the Japan Postal Office.

*Note: Please be advised that you are not required to write anything on the postal money note.
Step 4. Attach a return-mail envelope
Please prepare "a return-mail envelope" indicated your name and mailing address and attach the designated amount of postal stamp to the front side of the envelope beforehand.

Step 5. Send all all documents to the mailing address listed below

★Application Address for graduate students of the School of Economics, Law, and International Peace Studies: 
1-236 Tangimachi, Hachioji city, Tokyo 192-8577 Graduate School Section, Faculty Affairs Office Soka University.

★2 Application Address for graduate students of the School of Science and Engineering: 
1-236 Tangimachi, Hachioji city, Tokyo 192-8577 Academic Affairs Office, Graduate School of Science and Engineering Department, Soka University.

Application by representative

In case that an application by a representative person will be submitted on behalf of the applicant, in addition to the above-mentioned document, it is required to submit additional documents listed below;

1. Letter of Attorney

It is required to submit a letter of attorney with Applicant’s signature or his/her seal

 
 I (enter applicant’s name ) will provide with the authority regarding the application and receipt of the certificates to (enter name of the representative)
 
*Please be sure that the document is required to include the Date/ applicant’s name and his/her signature.

2. Copy of Personal identification documents of the representative

Either copy of the following documents must be submitted.
・Driver’s license (issued by Japan)
・Health insurance card
・Passport

*Please note that "My Number Card" cannot be accepted.
